Cheshire Peaks and Plains Housing Trust is scheduled to go live in March 2010 with its new document management system from Documotive.
Simon Penaluna, head of ICT, Cheshire Peaks and Plains Housing Trust, said, “We had a huge backlog of legacy documents relating to our customer records and property details, in addition to planned maintenance, repairs information, HR and finance documents. The files were taking up valuable office space and needed ongoing physical management which was both time-consuming and inefficient.”
The Documotive solution is being rolled out across the whole organisation, starting with the housing and finance departments.
Simon Penaluna continued “The Documotive system will manage all of our supporting information such as tenancy agreements, gas safety certificates, rent account informaiton and invoices, all of which will be immediately available to our housing and finance teams directly through the links from Capita OpenHousing and OpenAccounts.
“This will save us a huge amount of time both in terms of finding information and managing newly-produced documents, not to mention the huge space that will be freed up as a result of getting rid of all of the paper documents.”
Documotive has also announced the launch v3 of its document and process management solution. Ian Irwin, product development manager, Documotive, said “Our technical team is continually focused on making life easier for our customers by delivering easy-to-use, powerful solutions that deliver real benefits. We hide the clever stuff in the background and make the system very easy for the users – simple!”
Documotive 3.0 includes a range of new features as well as a number of new modules developed specifically for housing providers. Jonathan Holyhead, managing director, Documotive, added, “ The new release brings with it a host of new features that will deliver even more benefits to our customers. We had a fantastic 2009, welcoming 12 new customers in addition to developing a range of new solutions.”
